Quick answer

How does data migration to Zoho or NetSuite work? Data migration follows six ordered steps: map source fields to the target schema, extract records from the old system, cleanse and deduplicate the data, migrate into a sandbox first, validate field by field, then reconcile every total against the source. For finance data, both systems run in parallel until your team signs off, so the switch happens only when the numbers match. Aaxonix runs this method for migrations from Tally, SAP Business One, Salesforce, HubSpot, Pipedrive, QuickBooks, and spreadsheets into Zoho or NetSuite.

Migration

Why does data migration decide whether a new system succeeds?

Data migration is the most underestimated phase of any ERP or CRM project. Bad data in a new system is worse than no system at all, because your team stops trusting the reports and quietly goes back to spreadsheets. Aaxonix treats migration as a structured engineering project, not a bulk upload. We map, extract, cleanse, migrate, validate, and reconcile every record before anyone signs off.

For finance migrations, we run both systems in parallel until your team is confident the new one matches the old. Opening balances, historical transactions, customer and vendor ledgers, outstanding invoices, every number is verified before cutover. If a single control total does not tie out, we do not go live. That discipline is why our migrations from Zoho and NetSuite consulting engagements finish without the data-loss horror stories that make ERP projects fail.

Whether you are moving a CRM off HubSpot or Salesforce into Zoho, or an accounting system off Tally into NetSuite, the method is the same. The only thing that changes is the extract path and the mapping rules.

Method

What are the six steps of a safe migration?

Mapping comes first because it decides everything downstream. We document every source field, its data type, and where it lands in the target schema, including lookups, pick-lists, and parent-child relationships. Your team reviews and approves that mapping document before a single record moves.

Extraction pulls the data by CSV, Excel, or API, depending on what the source supports. Cleansing is where most of the value sits: we remove duplicates, standardise phone and date formats, fix broken encodings, and flag records that are missing required fields so you decide whether to correct or archive them.

Migration always runs into a sandbox first. We load the cleansed data, then validate record counts, field values, and relationships against the source before touching production. Nothing goes into your live system until the trial run is clean.

Reconciliation is the step teams skip and regret. We tie opening balances, ledger totals, invoice ageing, and record counts back to the source, line by line. For finance data we then run both systems in parallel for two to four weeks. You go live only when the new system produces the same numbers as the old one.

Source Systems

Which systems do we migrate from, and where do they land?

Any system that can export to CSV, Excel, or expose an API can be migrated. Moving a CRM off Salesforce or HubSpot? See our Zoho CRM partner services.

Why Aaxonix

What makes a migration zero-loss?

Validation and reconciliation

Every record is checked field by field and every total is tied back to the source. We do not treat a load as done until the numbers match.

Parallel run before cutover

For finance data, both systems operate side by side for two to four weeks. You confirm the new system matches before we switch anything off.

Zero-loss discipline

No record is dropped silently. Anything that cannot be cleanly mapped is flagged for your decision, never quietly discarded.

Documented audit trail

You receive the mapping document, validation report, and reconciliation summary. The migration is auditable long after go-live.

Proof point

A manufacturing client moved eight years of ledgers, 40,000 inventory records, and open receivables off SAP Business One into NetSuite. We reconciled every GL control total to the paisa and ran both systems in parallel for three weeks. Cutover happened over a weekend with zero lost transactions and no re-keying.

Process

What does a full migration cover?

Data Assessment

Full audit of your source system, data volume, quality, duplicates, missing fields, and format inconsistencies identified before migration begins.

Data Cleansing

Deduplication, format standardisation, missing value handling, and obsolete record archiving. Clean data goes into the new system.

Field Mapping

Source-to-target field mapping document reviewed and approved by your team. Every field, lookup, and relationship accounted for.

Trial Migration

Test migration in a sandbox environment. We validate record counts, field values, and relationships before touching production.

Validation & Reconciliation

Every migrated record reconciled against the source. Opening balances, transaction totals, and record counts verified.

Opening Balances

Customer/vendor ledgers, outstanding invoices, inventory quantities, and GL balances migrated with full reconciliation.

Parallel Run

For finance migrations: both systems run simultaneously for 2–4 weeks until your team signs off on accuracy.

Documentation

Migration mapping document, validation report, and reconciliation summary delivered for your records.

Our Process

The Aaxonix method, six phases, no surprises.

01

Discovery & Requirements

Face-to-face process mapping. We learn your business before touching any configuration. We also confirm whether Zoho or NetSuite is the right fit, honest recommendation before any build begins.

02

Solution Architecture

Full design, data model, module stack, integration map, automation flows. You review and approve before any build begins. This phase is complimentary.

03

Build & Configure

Short sprints, weekly demos. You see progress every week, not a big reveal at go-live full of surprises.

04

Testing & UAT

Structured testing against your original requirements. We don't go live until your team has signed off on every scenario.

05

Go-Live & Hypercare

Controlled go-live with a 2–4 week hypercare period, dedicated support to catch every edge case before it becomes a problem.

06

Training & Handover

Role-based training and full admin documentation. Our definition of done: your team runs the system completely independently.

FAQ

Frequently asked about Data migration.

We migrate from Tally ERP/Tally Prime, SAP Business One, Salesforce, Microsoft Dynamics, legacy spreadsheets, and custom databases. Any system that can export data in CSV, Excel, or via API can be migrated.

We run a four-step process: data extraction, cleansing (deduplication, format standardisation), mapping to the target schema, and validation. Every migrated record is reconciled against the source before sign-off.

Yes. We migrate opening balances, historical transactions, customer/vendor ledgers, and outstanding invoices. The depth of history depends on your reporting needs, we advise on what’s worth migrating vs. archiving.

For finance migrations, we always recommend a parallel-run period where both old and new systems operate simultaneously. This lets your team verify that the new system produces the same outputs before cutting over.

Simple migrations (contacts, products) take 1–2 weeks. Full financial migrations with historical data, opening balances, and parallel runs typically take 3–6 weeks. Complex multi-entity migrations may take 6–10 weeks.

No. Zero-loss discipline is the core of our method. Every record is validated field by field and every total is reconciled against the source before sign-off. Any record that cannot be cleanly mapped is flagged for your decision, never silently dropped. You keep opening balances, historical transactions, and activity history.

Yes. Because we load into a sandbox first and run finance data in parallel, your old system keeps operating throughout. The final cutover is scheduled for a low-activity window, usually a weekend, so your team never loses access to live data during business hours.

Pricing starts from INR 30,000 and scales with data volume, number of source systems, and the depth of historical data you migrate. A CRM contact and pipeline move sits at the lower end; a multi-entity financial migration with several years of history sits higher. We confirm a fixed scope after the source-system assessment.
